Duties/Responsibilities | |
Reception Duties: Managing phone calls: Answering, screening, and transferring calls, taking messages accurately. Scheduling appointments: Coordinating and scheduling meetings, appointments, and conference rooms. Handling correspondence: Managing incoming and outgoing mail, emails, and packages. Maintaining the reception area: Ensuring a clean and organized reception area. Provide a warm welcome to clients and other visitors, provide information and efficiently process clients Work within agreed systems and procedures Explain waiting times and procedures to clients and provide clients with information where appropriate Work collaboratively with other colleagues involved in the advice work process Records and communications: Answer the telephone professionally, and refer calls or take messages as necessary Process client information collected at reception / on the telephone Provide client with information where appropriate, including signposting to other organisations Ensure that correspondence, reports and other documents are managed and produced accurately and in a timely fashion, including those sent by email Team working: Liaise with advice staff regarding support for individual clients Monitor, maintain and order stocks of stationery, posters, leaflets and other items as necessary Use IT for record keeping Any other tasks as reasonably required | |
